The Australian Disability Enterprises FOFMS Training Resource Centre

This Resource Centre provides organisations funded under the Disability Employment Assistance Program (DEA) with links to instructional movies designed to assist with the operation of the FaHCSIA Online Funding Management System (FOFMS).  Australian Disability Enterprises use FOFMS to enter and update information about clients, complete case assessments, view and manage the capacity of outlets and reconcile payments.

These movies are designed as FOFMS training resources only and should not be relied on in their entirety to provide policy or program advice.  Australian Disability Enterprises must refer to their Funding Agreement in regard to their obligations to deliver Employment Assistance Services under the Disability Employment Assistance (DEA) Program.

Please note that if you have not already applied for and been provided with a username and password for FOFMS, you will need to contact the FOFMS Helpdesk on 1800 020 283 or by email: fofms@fahcsia.gov.au.

Recent Changes to FOFMS

In February 2010 changes occurred in FOFMS that aligned FOFMS terminology with the new FaHCSIA Common Business Model. The Common Business Model aims to standardise funding management practices across all programs and providers. These changes are not reflected in the training movies and you will need to be aware that the following names of tabs and fields have been changed.

Adjusting the Audio

When you first access the movies you may need to adjust the audio to suit your requirements.  You can do this when the movie has loaded, by clicking onto the arrow at the bottom right of your screen in the task bar.  You will notice there is a small Volume iconVolume Icon.  Click on the Volume icon, then uncheck the Mute box and adjust the Volume control up and down to suit your needs. 

Maximising the movie window

When viewing the movies you can maximise the full movie window by clicking the View menu and select "Full Screen".  This will remove all toolbars and will display the movie only.  You can also press F11 on your keyboard to toggle between full screen and your usual screen settings.

Movie Preloader

Please be aware that there is a preloader installed for each of the movies.  The preloader starts the movie on the first screen after only 10% of the movie has been loaded.  This enables you to view the movies after a short waiting time.  The remainder of the movie will continue to load while you are watching the first few slides.  If you click forward into the movie too fast you may see a blank screen; this means that this segment of the movie has not yet loaded.  The time taken to load the full movie will depend on the speed of your internet connection.

  • Monitor the Capacity of your outlet;
  • Search for an existing Client record;
  • Navigate the Clients, Cases and Payments screens;
  • Access iHelp files; and
  • View Disability Enterprise Literature
This should be the first training resource viewed by all users.
This movie should be viewed by Australian Disability Enterprises users who complete activities or view client, case, organisational and payment information in FOFMS.

Australian Disability Enterprises Create and Update a Client Record in FOFMS
This training resource demonstrates how to view, update and create a Client record when a supported employee first commences employment including how to:
  • Create a Client Record for a supported employee
  • Create an Address Record for a supported employee
  • Create a Disability Record for a supported employee
  • Update an Address Record for a supported employee
  • Update a Disability Record for a supported employee
  • Update a Phone Record for a supported employee
This movie should be viewed by Australian Disability Enterprises users who are responsible for managing client information in FOFMS.

Australian Disability Enterprises Creating and Managing a Case Record in FOFMS
This training resource shows users how to create and manage a Case Record for a supported employee who is receiving employment services from a Disability Enterprise including how to:
  • Search for a Supported Employee Record
  • Create a Case Record for a Supported Employee
  • Complete and Authorise an Intake Assessment
  • Recording a Supported Employee’s Weekly Wages and Hours.
  • Managing your Case Records on FOFMS
  • Updating Weekly Wage and Hours Records.
This movie should be viewed by Australian Disability Enterprises users who are responsible for managing and authorising case records in FOFMS.

Australian Disability Enterprises Completing a Disability Maintenance Instrument Assessment
This training resource shows users how to complete and authorise a DMI assessment for a supported employee who has achieved an employment outcome including:
  • Commencing a DMI Assessment for a Supported Employee
  • Authorising a DMI Assessment
  • Completing and Authorising a DMI Reassessment for a Supported Employee.
This movie should be viewed by Australian Disability Enterprises users who are responsible for managing and authorising Case Assessments in FOFMS.

Movie 5

Australian Disability Enterprises View and Reconcile Payments Made to Your Organisation by FaHCSIA
This training demonstration shows users who to view and reconcile payments made by FaHCSIA to their Organisation including how to:
  • Customise your Payments Screen;
  • Search for and view payment records;
  • Reconcile payments using FOFMS, the Remittance Advice provided to your organisation and your organisation’s Bank Statements; and
  • Run a report on payments made to your organisation.
This movie should be viewed by Australian Disability Enterprises users who are responsible for reconciling payments made in respect of eligible cases.
